Definition An SOP template is a fixed set of sections you fill in for every procedure so that all your SOPs look and read the same way. A consistent template is what makes a set of SOPs feel like a real quality system rather than a folder of loose notes.

Here is what each section of a standard SOP template should contain. Use the same order every time.

1. Header / document control

Title, document ID, version, effective date, and owner. This is the "controlled document" metadata that lets you tell one revision from another.

2. Purpose and Scope

One short paragraph on why the procedure exists, who it applies to, and — just as important — what is out of scope. The scope boundary stops the SOP from sprawling.

3. Roles and Responsibilities

List each role that participates and what it owns. For cross-functional or audited processes, add a RACI map so it is unambiguous who is Responsible, Accountable, Consulted, and Informed.

4. Prerequisites and Required Tools

Everything needed before step one: system access, approvals, inputs, materials, and any training. If a reader has to stop mid-procedure to go get something, it belongs here.

5. Procedure

The numbered steps. Each step is a single action, names the responsible role, gives an estimated time, and makes decision points explicit. This is the section a new hire actually follows.

6. Exceptions and Edge Cases

The non-happy paths: errors, exceptions, and escalations, with who to contact. A procedure that only covers the perfect run is not finished.

7. Quality Checklist

A short checklist to confirm the work was done right before it is closed. In regulated environments this can double as a sign-off sheet with reviewer and date.

8. Revision History

Version, date, author, and a one-line summary of what changed. This is what keeps the document controlled over time.
